What’s Included

  • Contacts — 9 canonical columns + 2 helper columns (Normalized Key, Dupe Count) that auto-flag duplicates.
  • Change Log — audit-trail table for any edits you make (date, contact ID, field, old/new, reason).

How to Use

  1. Start typing contacts into the Contacts sheet. The Normalized Key column (name + email, lowercased) populates automatically.
  2. Dupe Count shows how many times the same key appears. Anything > 1 flags red.
  3. When you edit a contact, log the change in Change Log so the team can trace who changed what.
  4. Export the Contacts sheet for mail-merges — filter out rows with Dupe Count > 1 first.
  • Clean & Dedupe Your Rights-Holder Contacts (/tutorials/clean-dedupe-rights-holder-contacts)

Common Pitfalls

  • Same person, two emails. The key uses name + email; a person with a new email reads as a new contact. Manual merge is still required.
  • Typos in names. “Anna Reyes” vs “anna reyes” normalize to the same key; “Ana Reyes” does not. Fuzzy matching needs Apps Script (see tutorial).
